Godwin Band Boosters Minutes
Executive Board Minutes 1/9/06
Call To Order
President Susan Taylor called the meeting of the Executive
Board to order at 6:40 pm.
Approval of Minutes
The minutes of the December 12, 2005 meeting were approved.
Treasurer's Report
John Lawrence presented the Treasurer's Report. Cash on hand
as of December 30, 2005 is $23,093.33 with a checking account
balance of $53,024.41 and savings account balance of $5,445.73.
The most significant cash events since the last general membership
meeting include:
" A $6,100 room deposit payment for spring trip
" A $6,300 payment to PeeJay's for December fruit delivery
" A $75 lost check to Hanover High School will be reversed
Student accounts are posted and current as of January 5, 2006.
Students who paid for food and fall transportation received
a $50 credit posted to their accounts.
Fall Field Show income grew to $11,490.97 with expenses to
date of $5,944.91. Expenses still not paid include $400 to PFG,
approximately $250 for janitorial services, and approximately
$250 for police service.
The Treasurer's Report will be filed for audit.
Susan Taylor explained that the 2005-06 Booster budget needed
revision to certain accounts (Winter Guard - Equipment, Winter
Guard - Misc., Winter Guard - Uniforms, Winter Guard - Fees,
and Fund Raisers - Car Washes) to adjust for fewer Winter Guard
participants than anticipated. The revised budget (attached)
was approved by the Board.
COMMITTEE REPORTS
Winter Guard
Johnna Riley expressed concerns of Winter Guard parents about
the Guard Show and the fee for being a winter guard member.
Parents felt the $200 fee to participate was keeping members
from joining and asked why the drum line did not contribute
any fees. She also felt that the money raised from the Winter
Guard Show did not benefit the Winter Guard directly. Mr. Auman
explained that the drum line does not pay fees because they
do not incur uniform or choreographer expenses, and that Michael
Auman is offering his services at no charge. Should the drum
line incur any expenses for their show and/or travel, the members
will be expected to cover those costs. Susan Taylor explained
that the Indoor Guard Show is one of two fundraisers the Boosters
hosts to provide funds for all the expenses the Booster organization
has including Winter Guard. It was noted that the decision was
made by the Executive Board two years ago that funding of all
programs be made as equitable as possible.
Newsletter
Susan Taylor reported that Ann Noles has taken a job in Jacksonville,
FL but will continue to organize and distribute the newsletter.
The deadline for the next newsletter is January 18, 2006.
Photography
Photos were taken last week of students in their band uniforms,
and unlike last year, money will not be due until the pictures
arrive and parents decide if they want to keep the pictures.
The make-up day has not been scheduled, but will be announced
when Mr. Auman is notified. David, at Lifetouch Studios, will
handle the composite picture.
Tribute Book
Carol Butterworth reported that ad rates for the Tribute Book
would not be raised this year. Senior pages will be offered
to senior parents. All money from last year's ads has not been
collected, and John Lawrence will check to see which sponsors
paid since August 2005.
Ways and Means
Dan Watkins presented the Ways and Means report. He thanked
those that helped on January 2nd at the UR Concessions. The
next date to work concessions at UR is February 18th; a sign-up
sheet was circulated. Upcoming Chick-fil-A nights are 1/13,
2/10, 3/10, and 5/12 from 5:00 - 8:00 pm at the Short Pump Crossing
Shopping Center Chick-fil-A. The next fundraiser is the Otis
Spunkmeyer cookie sale and will continue for two weeks. Dan
is expecting free Booster merchandise, such as seat cushions
and foam fingers, and we can decide at a later date when and
where to sell it.
Carol Butterworth passed around fudge from Bootsie's Chocolate
Obsession. The owner has agreed to let us sell coupons at $8.99
for a pound of fudge. Each student would be credited $4 per
coupon. The fudge currently sells for $10.99 a pound. Carol
will ask the owner if it is possible to sell these coupons without
putting money up front; Carol will report back to the Board
before a decision is made to offer this fundraiser this year.
Hospitality
Martha Phillips will poll seniors on thoughts for this year's
banquet, either a buffet or sit down dinner.
Misc.
Susan Taylor thanked Donna Lowe for selling scarves at work,
bringing in $192. It was agreed by the Board to earmark this
money for Scholarships.
Godwin is hosting All-County Band this weekend. The Boosters
will staff concessions on Friday afternoon and arrange for and
serve lunch on Saturday. The concert will be at 3:00 pm.
Discussion regarding damage to a Booster member's truck was
tabled until February as there was not sufficient time to give
the matter the Board's full attention at this meeting.

General Membership meeting 1/9/06
Call To Order
President Susan Taylor called the general membership meeting
of the Band Boosters to order at 7:43 pm. A sign-in sheet was
circulated.
Approval of Minutes
There was no consent agenda because there was not a General
Band Booster meeting in December due to snow.
Announcements
Susan thanked those that worked the UR Concessions in December.
She also expressed thanks to Donna Lowe who sold $192 worth
of scarves left over from the field show.

should have a minimum of $400 each in their accounts if they
are going on Spring Trip.

been practicing since early December and this year's theme is
"Dust in the Wind". A parents' meeting will be held
Wednesday, January 11, 2006.
Hospitality
Martha Philips will be polling seniors in the upcoming weeks
to determine if a sit-down dinner or appetizer reception is
preferred by the seniors. Martha thanked all those who sent
in cookies and drinks for the winter concert.
Tribute Book
Carol Butterworth reported that this committee is still in need
of someone to sell ads for the Tribute Book. Since students
are not charged for the books, the ads pay for the printing.
Anyone who is interested should contact Shari Galloway.
Ways and Means
Dan Watkins presented the Ways and Means report. He thanked
those that picked up their fruit on time. He also thanked those

Band Director's Report
Mr. Auman confirmed the cost for the spring trip, $570 for students
and $490 for chaperones with the Boosters subsidizing $100 of
that cost per chaperone for a maximum of 25 chaperones. Chaperones
wanting an extra seat on the bus would need to pay an additional
$175.
Godwin is hosting Al-County Band this Thursday through Saturday.
We're providing snacks and beverages on Friday and taking orders
for lunch on Saturday.
All-District Band will be at Tucker High School on February
3rd and 4th; the concert is at 3:00 pm.
Godwin will be hosting the District Band Festival on March
16 & 17 with the Godwin Bands performing on Thursday for
scores.
Indoor Guard Show
Roby Monday announced that the Boosters would host their annual
Indoor Guard Show on Saturday, March 4th. The Atlantic Indoor
Association oversees every Indoor Guard Show, but we are responsible
for the planning and execution. Roby passed around a sign up
sheet for workers to do set-up on Friday and to work the show
on Saturday. He also reviewed the planning positions that need
to be filled in order to run the show effectively. A meeting
will be scheduled for planning purposes and Roby will contact
those that signed up.
