Executive Board Minutes 2/4/08

Call To Order

The meeting was called to order by President, Roby Monday, at 6:35 PM.

Approval of Minutes

Minutes - The January minutes were not posted to the website due to a link problem. This was corrected today so the minutes are now available. Sallie brought a copy of the minutes to the meeting. The Board voted to dispense with a reading of the January minutes.

Announcements were made regarding two Godwin Band students
Nicole Ditto's picture was in the paper along with an article about her long-jump accomplishments. She won the triple jump and holds s the school record in long jump. Congratulations Nicole.

Jeff Sutton suffered a broken neck in wrestling. Mr. Auman reports that he is now back in school, wearing a neck brace. Wishing Jeff a speedy a speedy recovery.

Treasurer's Report- Frances Campbell

Francis distributed a budget summary to the Board.
Student accounts are posted. Student accounts will be updated this week and will include both the cookie sales and spring trip payments.
Note that the cookie sale credits have not yet been posted.
All expenses for the Field Show have been paid.
The fruit sales resulted in a profit for both Band Boosters and the student accounts.
Frances noted that the fees for the Indoor shows are higher than anticipated. This needs to be considered when preparing next year's budget.

Indoor Guard Show - March 8, 2008 - Roby Monday

Roby reminded the Board that this was a large fund-raiser last year. It is an all day affair and requires much volunteer power. Volunteers are needed for Fri PM to help with set up. Please plan to sign up and be available to work.
Drinks and baked goods are needed. Please bring only name brand sodas.
A lead is needed for judges - Vickie DeLand volunteered.
The first planning meeting has been held. The next planning meeting is scheduled for Thus. Feb. 21st in the Band Room at 7:00PM

Nominating Committee - Roby Monday

Two volunteers are needed to serve as the nominating committee for next year. A Senior parent is usually best. Their role is to identify candidates for offices and call those folks. Office positions include President, 1st Vice President, 2nd Vice President for Ways & Means, Secretary and Treasurer. There is a two year limit to serving in a position. Please let it be known if you are interested in serving as an officer next year. Sandy Philp volunteered to serve; still seeking one more parent.
The Nominating Committee needs to present a slate at the March meeting. Nominations form the floor will be taken and may be added in April. A vote is taken at the May meeting.

Chaperones - Debra Bradshaw

12 chaperones have signed up for Spring Trip. At least 6 more are needed.

Equipment - Chip Bragg & Robert Driggers absent

Hospitality - Chris Klein absent, Roby Monday reporting

The Spring Concert and end of year banquet will be held in May. Plans will begin for this.
There is a Pre-Festival concert March 4 at 7:30. The Board agreed that a reception with refreshments will be held after that event. Roby will contact Chris regarding this decision.

Roby reports that the website has been updated.

Photography/Tribute book - Carol Butterworth

Melinda Whitehead is the master coordinator for the Tribute book. It has been divided into sections and given to four people to work on. It is in Publisher format. The Print Shop can handle this format. Forms for tributes will be distributed soon. The deadline is 5-10-08. Sample Tribute books are available for anyone who would like to see one.
The cost estimate is $1700.00 for 200 books. This includes a color cover. The cost is covered by advertisements.

Uniforms - no report

Uniforms will be needed on Spring Trip

Ways & Means - Laura Hudson

Cookie sales - 28 students participated for a total of $3510 in sales; this raised 41404.
Chorus has submitted the order. Cookies will be delivered this Thursday. The truck arrives at 10AM. An alternate location will be considered in case of inclement weather. The company ships full cases but does not charge for an extras above what was ordered. This means that there will be items available for sale which will net 100% profit.

Car Washes

Laura is in process of scheduling car wash dates for the summer. She contacted Nicole Williams at Wal-Mart. There will be no matching funds for last year because we received too much money. We cannot schedules dates until March 1st. Board members expressed concern about Wal-Mart - it is harder to deal with, the administration has not kept their agreements for matching funds, the parking lot is busy and less safe and we do as well in fund raising at Exxon in spite of less traffic. It was agreed to continue to hold car washes at Exxon on Ridgefield. It would be nice to have a second location but Wal-Mart will be a low priority for locations.

Kings Dominion

Roby suggested considering the possibility of fund raising through Kings Dominion. An adult will need to undergo the training. 10 kids go and work for 2 days. This has the possibility of raising as much as $1600.

Cindy suggested fund raising through Rudinos. She will find out how much other organizations raised.

Laura is working on plans for the Golf Tournament in the fall.

Francis stated that Ukrop's Golden Receipts began today for one month.

Fund raising has not brought in what we had expected.

Mr. Auman's Report

Spring Trip plans have not yet been approved, thus plans are delayed. The contract is now in the attorneys hands awaiting approval. The hotel rooms were to have been paid for by last Friday. The band will perform Fri PM and the choir will perform Sat. Activities have not been booked.

Guard parents - Marty Riley

The Guard Show is called Autumn Leaves. The girls are practicing hard and working on props and costumes. Their first show is this weekend at Potomac Falls.

Indoor Show

Michael Auman reports that the indoor percussion team is the very strong musically. Visuals have been more difficult due to not having a consistent space to practice in and/or not having a large enough area to lay down the floor. The name of the show is The Heist. They will perform at the WGI held at Powhatan HS on 2/23.The WGI regional is a huge National Circuit. Teams will be coming from many states including TN, NC, and NJ. Details will be available soon. The Godwin team will wear band pants, band shoes, an under armor mock turtle neck and ski cap.

Laura is working on plans for the Golf Tournament in the fall. We will try to tie this in with Homecoming weekend.

The band will perform Fri PM and the choir will perform Sat. Activities have not been booked. Costs for other activities will be included in the fees; there will be no additional costs.

The second payment for the trip is due tonight. The final payment is due 3-3-2008. The cost for students will be approximately $500.00. Chaperones are $100 less than students.

A question arose as to whether families get money back if they do not use all the money in a student's account. It is difficult to give money back due to tax issues. If you pay in cash, Boosters would have to refund that money. However, if the money is raised through a fund-raiser, you won't get it back. If money in an account is not used, it stays in the students account. If a graduating senior has money in the account, it can transfer to a sibling. It is recommended that Seniors should pay exactly what is owed.

Chaperones are needed for Spring Trip - please contact either Mr. Auman or Debra Bradshaw.

Mr. Auman announced a concert this Wed, 2/6 at 7:30 - the Central Virginia Jazz Orchestra, of which he is a member. They will play selections including Count Basie, and Duke Ellington.

Thurs 2/7 Godwin hosts the District Theater Festival. This will be a series of one act plays starting at 9AM.

All State auditions are on 2/23.

3.4 is the Pre-festival Concert.

3/13 the band will play at Hermitage HS

Auditions for chorus are 2/11 & 2/12 for the school play Les Miserables. The orchestra will need various instruments.
