Executive Board Minutes 11/5/07
Call To Order
The meeting was called to order by President, Roby Monday at
6:38PM.
Roby announced that he will hold a post Field Show debriefing
meeting for committee leaders on 11-15-2007 at his home. Please
provide feedback as this helps with future shows.
He also announced that Principal David Myers will attend the
General Meeting this evening. GBB is very fortunate to have
this private meeting with the Principal. The Business portion
of the General Meeting will be suspended for this special occasion.
The minutes were approved as posted on the website.
Roby recognized Chris Klein and members of the Hospitality
Committee including Cindy LaFratta, Carol Butterworth and many
new Freshmen parents for a fabulous Senior Banquet on Nov 2nd.
Many thanks for a job well done and a memorable evening.
Roby expressed great thanks to the Field Show Committee chairs
for their many hours of dedicated work resulting in a very successful
Field Show on sat Nov. 3rd.
Approval of Minutes
The minutes of the October meeting were approved as posted
on the web.
Treasurer's Report- Frances Campbell
Francis distributed a budget summary to the Board.
There are 6 students who owe fees - this is actually 4 as one
is no longer in band and the other came in this evening. Sandy
Philp has been instrumental in contacting these families and
will continue to follow-up with them.
One student did not pay the $65.00 for transportation but has
attended all of the events so she does owe this fee. This is
likely due to either a misunderstanding or it was forgotten.
Sandy Philp will contact the family.
Financial activity in October was dominated by the impact of
competitions and football game performances. Fuel costs were
higher than expected this year, so the cost for transportation
exceeded the budget. This was offset by one less game day meal
due to a postponed game on 10-26-2007.
Payments for warm-up apparel for Color Guard are lagging. The
invoice was approved by the Rileys' and GBB has paid it. GBB
is now awaiting payment from the Color Guard. The payments total
$800-900.
Roby pointed out that a question for Mr. Myers would be what
type of recourse GBB might have for students who do not pay
fees, such as revoked parking privileges. Mr. Auman recommended
deducting it from money in the student accounts designated for
Spring Trip.
The Field Show held on Nov 3rd was small; early analysis indicates
it was profitable. Francis provided a comparison to previous years.
Receipts generated are comparable to those of previous years with
a similar size show. Francis and Roby reminded everyone to turn
in all receipts for the Field Show.
AIA payments have been re-structured. The entry fees are now
2x for each show - this is for the drum line and the Color Guard.

COMMITTEE REPORTS
Chaperones - Debra Bradshaw
Things have gone smoothly. There is one more game. The freshmen
parents have been great.
Concessions - Cindy Basil absent
Winter Guard try-outs will be held soonThere is a net profit of
approximately $30.00 However, there is no intention of generating
cash flow; this is provided as a service to the band students
and their families.

Hospitality - Chris Klein
Chris expressed thanks and appreciation for her committee for
presenting a successful Senior Banquest. She states that costs
were within budget.
The Winter Concert is the next event. Chris circulated a sing-up
list at previous meetings and will send e-mail reminders to
those who volunteered to bring goodies. She plans to use the
rest of the drinks that are left over but will need more.
Website - Henry Smith absent, Mark Bartholomew
Mark reports revising and updating the site to include upcoming
itinerary, concert dates and times. He has updated the site
each weekend. This includes photographs. Carol Butterworth and
Dave Schwartz have graciously provided Mark with many CD's of
photos. Mr. Auman will send the standings from the field shows
to Roby who will forward them to Mark for posting on the web.
Tribute Book & Photography - Carol Butterworth
Carol will send an email to remind parents to submit photos
for the Tribute book. A discussion was held regarding GBB purchase
of Photo Suite and licensure issues. Carol will discuss format
required with printers and present more details so that a decision
canb e reached. It was agreed that GBB needs Freshmen parents
to learn the process for putting this book together including
layout, logistics and ad sales. Chip Bragg will sell ads but
is not able to coordinate this.
Uniforms - absent
Jackets will be sent to dry cleaners. Pants will need to be
taken home and washed. Washing instructions are available on
the web and on the door of the uniform room.
Ways & Means - Debby Dip and Laura Hudson
Game sales were $32.00
Entertainment books - left over books were returned
Will give info and money to Francis
Students sold 232 out of 320 books. They earned 7.50 per book.
For
every fifth book, the student received a $25.00 credit.
Citrus sales end today. Delivery is Thurs Dec 6th. Students
help unload the truck. 5-10 parent volunteers are needed to
sort the orders; please arrive by 10:30A.
Flag sales are from Nov 1st - 19th. Orders will be filled by
winter break. Students earn 45% of their sales.
Cookie Dough goes on sale in January
Shirt orders - need a minimum of 12 in order to place an order
Offered a suggestion for a golf tournament. Mr. Auman states
one was done about 10-12 years ago. Roby requested that Ways
& Means develop a proposal and present it at the next meeting.
Other fund raising ideas presented including collecting cell
phones/printer cartridges or Funding Factory.
Band Director's Report - Mr. Auman
He feels the students have worked hard and have done well.
He was disappointed in the VBODA results due to obstacles that
were unfair. These will be discussed at the band directors'
meeting.
Indoor Guard Show is scheduled for March 8, 2008
The paperwork for the AIA Finals Championship was turned in;
Godwin and Powhatan HS were the only ones who applied. There
may be some chance that AIA will try to hold the finals at a
different site such as UVa. We are awaiting their decision about
location.
Spring trip - a payments due schedule needs to be devised
Awaiting approval for the trip before any further information
can be given

General Membership meeting 11/5/07
Call To Order
The meeting of the General Membership of the Godwin Band Boosters
was called to order by President, Roby Monday at 7:30 PM.
The special guest this evening is David Myers, Principal, Godwin
High School.
Approval of Minutes
The Minutes were approved as posted on the web.
Roby expressed great thanks to the Hospitality committee and
volunteers for a fabulous Senior Banquet. He also expressed
thanks to the many volunteers who helped with the Field Show,
making it a great success. A post show review will be held next
week. Roby encouraged the membership to e-mail comments to him.
Roby then introduced Principal Myers and turned the floor over
to him.
Mr. Myers began by stating that he highly values and appreciates
the band. He stated that he and the administration recognize
that the Band requires tremendous parental support.
Mr. Myers moved to Richmond from Littleton, Colorado 6 yrs
ago. He taught Social Studies, then served as an Assistant Principal
at a HS in CO for 7 years. He and his wife moved back to Virginia
to be closer to family. Mr. Myers is delighted and excited to
be part of the Godwin community.
He described his two primary goals
- that each child should have a rapport with their teachers.
He feels that rapport with the students is the most important
quality a teacher can exhibit.
- to provide continuous school improvements. This may be done
through small study groups, small professional groups, and making
technology effective.
Mr. Myers stated that he is open to hearing issues and concerns
and is always willing to meet with parents, students, and teachers
to discuss these.
Roby asked about the goals for the school. Mr. Myers replied
"to prepare the students for their world which will require
the ability to collaborate and to apply creative problem-solving
and to ensure written expression".
Mr. Myers described the STEP program which was begun with 9th
graders and provides a mechanism for identifying those who are
struggling and pairing them with core teachers. It also involves
parent tutoring and/or teacher mentors.
Parents expressed thanks to Mr. Myers for listening and for
recognition of the band.
Questions, concerns related to traffic and safety pre and post
school and at events were expressed. Mr. Myers states that traffic
engineering and the possibility of a light has been discussed
previously. He realizes that this is a problem and will explore
solutions further.
Roby described GBB's role which is to provides funds for the
operation of the band, including purchasing instruments. Student
fees pay for transportation, meals. Costs are a barrier to the
success of the band. For example, if GBB does not meet its budget,
scholarships for college are cut. It is also unfair for most
students to pay and some not to pay as GBB absorbs those fees.
Since GBB is not part of the school, there seems to be no recourse.
Roby raised the question of how to handle situations when a
student does not pay fees. An example might be to revoke privileges
such as parking permits.
Mr. Myers replied that unpaid school fees are difficult for
the HS too. Many go to the Central office and may go unpaid
until senior year. The student may have moved by that time so
the fee is never collected. He realizes this is a problem and
expressed willingness to set up a meeting with Roby to outline
resolutions.
A parent raised the question of how best to handle a situation
where a student is not "clicking" with a teacher.
Mr. Myers replied that there are many relationships between
all of the teachers and students at the school. It is important
for students to seek help working through such problems. It
is most important to discuss the problem and seek resolution.
The GBB membership thanked Mr. Myers very warmly for his time
and support of the Godwin Marching Eagles.
Sandy Philp announced that GBB directories are ready and will
be sent home with students. She also had copies for pick-up
this evening.

Mr. Auman announced that since the purchase of computers, there
has been no money for instruments from the County. Mr. Morton,
the school Superintendent, has been very supportive of the arts;
he was able to find $5,000 in the budget and an additional $9,000
for next year for a total of $14,000 for equipment for r next
year.
