Godwin Band Boosters Minutes
Executive Board Minutes 11/7/05
Call To Order
President Susan Taylor called the meeting of the Executive
Board to order at 6:35 pm.
Approval of Minutes
The minutes of the October 3, 2005 meeting were approved.
Treasurer's Report
John Lawrence presented the Treasurer's Report. Cash on hand
as of November 7, 2005 is $33,644.04 with a checking account
balance of $28,212.01 and savings account balance of $5,432.03.
The most significant cash events since the last general membership
meeting include:
" Approximately $2,100 leftover from student meals with
one more meal to pay for; the leftover amount will be divided
among students and transferred into their accounts.
" Since motor coach transportation was only needed once,
the leftover fall transportation money will be divided among
students and transferred to their accounts.
" Student Accounts are updated and will be posted in the
band room this evening.
" $600 in participation fees has been collected for the
Godwin Invitational Field Show.
John Lawrence will contact our bank to inquire further about
interest-bearing checking accounts.
John Lawrence reported that he is unable to secure a letter
from the State of Virginia stating the Boosters has tax exempt
status since we are not a 501 (3) c organization. It was noted
that many businesses have Godwin High School's tax exempt information
on file and are happy to apply it to Band Boosters' purchases
since we are a Godwin High School organization.
The fire extinguisher used in the field show was damaged. Dan
Watkins had it reconditioned for $57.75 and purchased a second
extinguisher for $33.65. Mr. Auman will pay these costs from
his funds.
The Atlantic Indoor Association, the organization that oversees
indoor guard competitions, has notified us that the cost to
host the March indoor guard competition will increase from $900
to $1200. It was agreed that the Boosters will pay the increased
fee as there is no alternative if we wish to continue to host
a competition. Mr. Auman reported that AIA is increasing the
number of competition sites this season; in fact, Deep Run HS
will host a competition the week before our competition.
The Treasurer's Report will be filed for audit.
Field Show
Susan Taylor announced that we have 2 Class A, 3 Class AA,
2 Class AAA, and 1 Class AAAA signed up for our field show.
Warwick High School (AAA) withdrew a week before our show for
the second year in a row. It was suggested that Warwick not
be invited next year or as long as their current band directors
are involved.
Committee members were asked to bring extension cords and lanterns
the night of the field show. Drinks and baked goods can be sent
in with the students on Saturday. "Training" of volunteers
will be held tonight at the conclusion of the General Meeting.
COMMITTEE REPORTS
Hospitality
On behalf of all senior parents and students, Susan Taylor
thanked Martha Phillips and the members of the Hospitality Committee
for a wonderful Senior Banquet. Martha Phillips noted that she
would send around a sign-up sheet at the General Meeting for
parents to provide cookies and drinks for the Winter Concert.
Newsletter
The next deadline for the newsletter is Sunday, November 27th.
Ways and Means
Dan Watkins announced that Chick-fil-A night is this Friday.
Bruster's Ice Cream coupon books are still available for $10.
Dan noted that there are plenty of seat cushions that can be
sold at the field show if someone is willing to handle it (he'll
be out of town and unable to attend). He noted that $266 was
brought in from game night sales of various Godwin merchandise.
Susan Taylor announced that the Band Boosters have been assigned
3 dates to work the Robins Center Concessions (November 18th,
6:00 - 9:00 pm; January 2nd, 2:30 - 5:30 pm; and February 18th,
5:30 - 8:30 pm). A total of 16 parents and students are needed
for each date. Sign-up sheets were distributed.
Scholarship Committee
Susan Taylor announced that we are still looking for someone
to chair this committee. John Lawrence noted that there may
be $400 available from the Entertainment Books to use for scholarships.
Misc.
Leslie Harris, a former band parent, has asked to put a link
on the band's web page for the sale of beaded bracelets marketed
toward Godwin students (i.e. red and black beads with eagle
charms, etc.). She has offered to give the band 20% of her sales.
It was agreed to let her link to her website from our main page.
Susan Taylor asked if there was any interest in having individual
pictures and a composite picture made of the band students this
year. Chris Klein agreed to look into this.
Band Director's Report
Mr. Auman reported that the band, chorus, and drama departments
will be going to Orlando, Florida this year for spring trip.
We will deal directly through Disney and the cost per person
is estimated at $550. A $200 deposit will be due from each student
by the end of the month to be turned in with the paperwork that
will go home to parents soon.

General Membership meeting 11/7/05
Call To Order
President Susan Taylor called the regular meeting of the Band
Boosters to order at 7:35 pm.
Approval of Minutes
The minutes of the October 3, 2005 General Booster Meeting were
approved.
Announcements
Susan Taylor announced that the Band Boosters have been assigned
3 dates to work the Robins Center Concessions (November 18th,
6:00 - 9:00 pm; January 2nd, 2:30 - 5:30 pm; and February 18th,
5:30 - 8:30 pm). A total of 16 parents and students are needed
for each date. Sign-up sheets were circulated.
A sign-up sheet and payment envelope was passed around for
purchasing a DVD of Godwin's exhibition performance and the
field show awards ceremony.
Also circulated was a sign-up for volunteers to bring refreshments
to the winter concert.

COMMITTEE REPORTS
Hospitality
Susan Taylor thanked Martha Phillips and her committee for the
Senior Night Dinner. Martha Phillips asked for help cutting
the scarves that will be sold at the Field Show.
Ways and Means
Dan Watkins asked members to volunteer to work the concessions
at U of R. Dan announced that $266 was made selling Godwin merchandise
at home football games. He reminded everyone to sign up for
the new Ukrops Golden Gift program (see the last newsletter
for step-by-step instructions).
Winterguard
Bonnie Littlefield noted that winterguard would begin soon.
Interested members must have participated in marching band to
try out.
Mr. Auman's Report
Mr. Auman reported that the band completed another successful
marching season. Thursday will be the last practice and should
be over by 5:00 pm. Friday's football game will be against Freeman.
Citrus orders will arrive on December 2nd and need to be picked
up by 6:00 pm.
District Band Auditions will be held at Huguenot High School
on December 10th. The $5 entry fee needs to be turned in by
November 21st. All-County Band is chosen from those that participate
in District Band auditions.
The band will participate in next year's Ukrop's Christmas
Parade.
The spring trip is estimated to cost $550 per student with
a $200 deposit due soon.
Field Show
Parents were reminded to send in a 12-pack of brand-name sodas
or bottled water this week and to bring in pre-packaged baked
goods by noon Saturday for the Field Show. Those sponsoring
trophies were reminded to make payment to Chris Klein. Field
Show volunteers then broke into groups with area coordinators
for "training".
