Godwin Band Boosters Minutes
Executive Board Minutes 12/12/05
(Rescheduled from December 5th due to snow day)
Call To Order
President Susan Taylor called the meeting of the Executive
Board to order at 6:30 pm. She reported that a sympathy card
from GBB was sent to Becky Battle's family on the death of Becky's
mother.
Approval of Minutes
The minutes of the November 7, 2005 meeting were approved.
Band Director's Report
Mr. Auman reported that the room assignments for the spring
trip are finished. The deposit for the trip is due and will
be mailed to Walt Disney World soon. The next student deposit
is due on January 11th and each student and chaperone should
have $400 in their account at that time.
Treasurer's Report
John Lawrence presented the Treasurer's Report. Cash on hand
as of December 5, 2005 is $43,861.31 with a checking account
balance of $38,420.20 and savings account balance of $5,441.11.
John Lawrence announced that we now have an interest bearing
commercial account. We made $12.65 last month in interest. Also,
the Boosters received $695 in proceeds from Entertainment Book
sales; John suggested that these monies be earmarked for the
Scholarship Fund unless they are needed for other operating
expenses. It was agreed that for the time being the money will
remain in the Entertainment Book budget line; should it not
be needed for general expenses by the Boosters, it will be transferred
to the Scholarship budget line in the spring.
A motion was passed to move $50 into the account of each student
who paid for game day meals and fall transportation. Not all
the monies collected for game day meals were needed due to cancelled
games, etc. and not all monies collected for fall transportation
were used because coach transportation was needed for only one
out-of-town competition instead of two.
A second motion was passed to use the remaining $980, left
over after transferring unused funds from fall transportation
to student accounts, for truck expenses for the spring trip.
The Treasurer's Report will be filed for audit.
Field Show and Winter Guard Show
Susan Taylor thanked everyone who helped with the Field Show
and announced that a financial update will be available shortly.
Susan noted that we should consider hosting the show the 1st
weekend in November next year.
The Field Show DVDs will be available for pickup after tonight's
concert for those who purchased them.
The Winter Guard Show will be March 5th. Everyone is needed
to help with this show and planners are especially needed now.
COMMITTEE REPORTS
Equipment
Bob Loving explained that a GBB member has been graciously loaning
the use of his pick-up truck for moving the ATV this marching
season. Unfortunately the truck was damaged in the process of
loading the ATV onto the truck. Because the use of the truck
was of such great help to the Boosters, Bob requested that the
Boosters consider giving the truck owner $500 (the cost of deductible)
as a show of good will. After some discussion, it was decided
to table this topic until Susan Taylor can confer with Mark
LaFratta. Discussion will continue at the January meeting.
Newsletter
The next newsletter will be sent out by the end of next week.
Ann Noles has received some information but has requested additional
information be sent to her soon.
Tribute Book
Bev Myers and Sherry Galloway reported the Tribute Book is progressing.
They will check with Carol Butterworth to see if we have received
all the advertising payments from last year's book. It was suggested
that pages be offered to senior parents at a reasonable price
for offering a tribute to their senior in pictures and text
(similar to what is offered for the GHS Year Book).
Ways and Means
Dan Watkins announced that we received a check for $120 from
Chick-fil-A for the spirit nights. $3,176 was made on fruit
sales and this money was credited to student accounts. The Otis
Spunkmeyer fundraiser will be offered from 1/9 through 1/23.
A sign- up sheet for the January 2nd UR Concessions was circulated.
Chaperones
Becky Davis reported that at this time, all parents that have
asked to chaperone the spring trip would be able to do so.
Misc.
Susan reported that our web master is not working out and that
she will be pursuing other options.
Chris Klein announced that pictures of band and choral students
will be taken on January 6th by Lifetouch. A composite picture
will be made from the individual pictures taken. Ordering information
will be sent home with the students prior to the January 6th;
payment must be made at the time of the sitting.
No guard parents were present to report on the status of Winter
Guard. Susan Taylor noted that the budget for Winter Guard was
based on 16 participants (the number last year), but will need
to be adjusted if this year's number is higher or lower. She
will follow-up with Johnna Riley and Vicki DeLand.
Adjournment
The meeting was adjourned at 7:17 pm.

General Membership meeting 12/12/05
The General Membership Meeting had to be cancelled due to
a school system snow day. Conflicts and the holidays made it
impossible for us to reschedule. President Susan Taylor used
the December 12th Winter Concert to make announcements to the
general membership.
