Executive Board Minutes 3/5/07

Call To Order

President Roby Monday called the meeting of the Executive Board of the Godwin Band Boosters to order at 6:35PM.

Approval of Minutes

Minutes were approved as posted on the web.

Announcements

Roby congratulated the Indoor Guard which placed 2nd in their first show. They were then moved up a level and placed 2nd at their next show at Deep Run. Thus, they come in 2nd place competing at this higher level. He also congratulated the Indoor Percussion which placed first in their competitions at both the Deep Run and Godwin shows.

Roby expressed many thanks to all of the volunteers who helped plan and execute the massive Indoor Guard Show on Sat March 3. He expressed special thanks to those who came in on Fri PM to set up and stayed the whole day on Saturday. We received many positive compliments regarding the show. Kudos to the students and parents who worked so hard.

Roby reminded the group about the Spring trip Chaperone Meeting in the Chorus Room after tonight's general meeting.

Treasurer's Report- Frances Campbell

Francis distributed a financial statement. He reports that total receipts for the Indoor Guard Show were 10,768.84. We are awaiting total costs of approx $4,000 for concessions, janitors, and police. Also, this total does not reflect the trophy money.

Spring trip payments should have been paid. If payments are not made in full, the student will not be allowed on the bus for the trip.

Francis proposed that Band Boosters help support the son of Jack Halpern who was instrumental in the success of the concession stand for the indoor guard show. He donated a huge amount of food. After discussion, the Board agreed to reimburse Jack $95 which is the amount left in his student's account for the trip. This $95 will go into Jordan's account for the Spring Trip.

Roby requested that Mr. Auman submit his wish list of instruments at the next Board meeting. Mr. Auman reports an upcoming opportunity to purchase instruments from a Drum Corp in the Midwest which is selling their instruments. He will explore the costs and submit his request. If he needs to bid on the instruments prior to the next meeting, contact Roby about the costs; this money has already been designated for instruments in the budget.


COMMITTEE REPORTS

Nominating Committee - Roby Monday

Roby asked for volunteers for this committee the purpose of which is to identify a slate of officers for next year. They are to present the slate at the April meeting. Names can be taken from the floor at that time. The slate will be voted on at the May meeting.
Linda Loving and Chris Klein offered to take on this task.

Tribute Book - Bev Myers

Patty Dean, Monica, Chip Bragg have been selling advertising. Encourage the group to each sell contact one frequently used business and sell an ad. Would like to raise 2,000-3,000 to cover the cost of the book. This is a special treat for the students who usually prize it higher than the yearbook.

Photography - Carol Butterworth

Carol encouraged folks to submit photos and tributes for the Tribute Book now. They are due by April 6th. The kids will receive their tribute forms during the Spring Trip. Letters will go out to parents of seniors.

Chaperones - Debra Bradshaw and Becky Davis

Equipment - Bob Loving

Tires will be checked carefully before Spring Trip to NYC.
It was discovered that recent flat tires were due to air being let out of them.
The truck has been rented for the upcoming Spring Trip.

Guard Parents - Marty and Johnna Riley

The Guard travels to Springfield this weekend.
Information and photos about the recent shows will be submitted for posting on the web

Hospitality - Chris Klein

Plans are underway for the Spring Banquet which is on May 29.

Membership - Sandy Philp

Uniforms - Linda Loving

Linda Loving, Bev Myers and Susan Jonte are parents of graduating Seniors. We need a committee chair; the committee needs to include a Guard parent.

Ways and Means - Dan Watkins

Mr. Auman's Report

District Band is Thurs and Fri March 15th, 16th. Help is needed for registration, judges packets form 9:30-7:00 on Thurs and 8:00-6:00 on Fri. Cindy LaFratta will help both days, Becky Davis will help on Fri. Please give any time that you can. This is especially critical as the school has 4 field trips scheduled that day, therefore many students will be away from school and not available to help.

Debriefing on the Indoor Guard Show - Roby Monday
Overall, the show went very well. Although the final financial statements are not in, it is anticipated that the show was financially very successful. Many positive comments were received. Roby requested that all planning notes and suggestions for improvements be documented and sent to him for next year's planners.
