Godwin Band Boosters Minutes
Executive Board Minutes 3/6/06
Call To Order
President Susan Taylor called the meeting of the Executive Board
to order at 6:34 pm. Susan thanked those who helped plan and
execute the Indoor Guard show, particularly Master Coordinators
Roby Monday, Johnna & Marty Riley, Laura Hall, Mr. Auman
and Mr. Mitchell. She also thanked the parents and students
who worked the UR concessions in February.
Approval of Minutes
The minutes of the February 6, 2006 meeting, which were circulated
to Board members via email, were approved.
Treasurer's Report
John Lawrence presented the Treasurer's Report. All Spring Trip
payments have been made with the exception of the rental truck
for equipment. It is estimated this will cost approximately
$700. All student account balances are current with the exception
of two students owing approximately $500; Mr. Auman is handling
this situation. Cash on hand as of February 28, 2006 is $23,898.78
with a checking account balance of $18,453.42 and savings account
balance of $5,445.36.
John reported that the Guard Show was a successful fundraiser.
It is estimated that our profit is $4,248.79. The Fall Field
Show profit is $4,935. There is one outstanding check due us
from Reeds & Things for $130.
The Treasurer's Report will be filed for audit.
Nominating Committee
John Lawrence reported that the Nominating Committee has proposed
the following slate of officers for next year.
President Roby Monday
1st Vice President Kathy Jones
2nd Vice President Dan Watkins
Treasurer open
Secretary open
They will continue to recruit for the Secretary and Treasurer
positions. Recommendations for officers should be forwarded
to the Nominating Committee (John Lawrence, Don Taylor, Martha
Phillips and Diane Fellin).
Indoor Guard Show
Numerous problems were experienced with AIA during the Guard
show again this year. AIA was unresponsive, inflexible, late
in posting the on-line schedule, and late in arriving with the
final expanded schedule. For next year's planning, note that
some groups did not show up. Mr. Auman noted that we should
have at least a $200 refund from AIA from bonds for the no-shows.
Parents commented that this show was on schedule for the entire
show. Roby Monday noted that making more center door posts removable
would be a tremendous benefit for future shows; he will write
a memo to Mr. Moore asking that this work be done when possible.
It was noted that the band cooler is not working properly.
The compressor needs to be looked at. Mr. Auman said he would
have someone from the County look at it.
The Guard scored well last week. The drum line came in 2nd
Place.
Fundraising Policy Change by HCPS
Mr. Auman explained that Godwin's financial secretary was notified
by HCPS Central Office that all future funds raised by booster
groups for field trips must be shared equally among students,
that there can be no individual accounts, and parent/student
payments must be paid to GHS and receipted by the field trip
sponsor (i.e. Mr. Auman). Everyone agreed that this is ill advised
since everyone loses and we have always been able to provide
sufficient records to substantiate the origins and uses of all
funds. Mr. Auman stated that the HCPS Central Office is discussing
this further after negative feedback from department heads and
therefore, no action is needed at this time from the Boosters.
COMMITTEE REPORTS
Chaperones
There is a mandatory chaperones meeting tonight immediately
following the general booster meeting.
Newsletter
Ann Noles will get out a newsletter before Spring Trip if there
is sufficient information. Entries must be sent to her by Friday,
March 10th.
Photography
Carol Butterworth passed around the group photo and noted that
this was the last night to order a picture for $5. All profits
will go to the Sullivan Scholarship fund.
Tribute Book
Sherry Galloway noted that any business wanting to place an
ad for the Tribute Book should contact her.
Ways and Means
Susan Taylor has spoken with the sales representative for Entertainment
Books, who wants us to indicate whether we wish to reserve the
same sales time period for next year. Since we are not obligated
to proceed with selling the books, Susan will sign and return
the form.
Dan Watkins thanked everyone for picking up their cookie dough
on time. A big Chick-fil-Anight will be held on March 10th with
10% of all receipts turned in going to the band. Additional
funds can be earned by manning a prize wheel and if a booster
or faculty member helps work behind the counter.
Hospitality
With Mr. Auman's help Martha Phillips will poll the students
about their preference for the format for this year's banquet
(i.e. sit-down dinner vs. reception) and will inform the boosters
at the next meeting. The banquet is scheduled for May 22nd at
6:00 pm.
Misc.
Martha Phillips noted that Deep Run's Web Design Class (Amy
Bush, teacher) is looking for non-profit groups to complete
work for. This may be a possibility for our web page if we aren't
able to find a new webmaster.

General Membership meeting 3/6/06
Call To Order

of the Band Boosters to order at 7:30 pm. Susan thanked those

Feedback on the Indoor Guard Show was received and will be incorporated
into a document for future shows.
COMMITTEE REPORTS
Hospitality
Martha Philips announced that the Band Banquet would be held
on May 22nd. She is looking for ideas for goodie bags for the
seniors.
Tribute Book
Sherry Galloway announced that businesses are welcome to advertise
in the Tribute Book. Cost are $150 for a full-page ad, $100
for a ½ page, $75 for a ¼ page, and $50 for a
1/8 page. Senior tributes cost $100 for a full page and $75
for a ½ page.

on time. Bruster Ice Cream coupon books are still available

5% can be made if a booster or faculty member helps work behind
the counter.
Band Director's Report
Mr. Auman announced that Godwin will be hosting District Band
on March 16th and 17th. Twenty-two bands will participate. Mr.
Auman invited everyone to come and listen to the bands. The
spring trip itinerary is being finalized and will be sent home
soon. The departure date is Wednesday, March 22nd at 6 pm. Juniors
and seniors will check in with their chaperones at 4:30 and
freshmen and sophomores will check in with chaperones at 4:50.
All luggage will be checked before boarding the bus. Estimated
time of arrival home on Sunday is 10 pm. A chaperone meeting
is scheduled immediately following tonight's Booster meeting.
