Executive Board Minutes 4/7/08
Call To Order
The meeting of the Executive Board of the Godwin Band Boosters
was called to order by President, Roby Monday, at 6:30PM.
Approval of Minutes
The minutes of the March 3, 2008 meeting were approved as posted
on the web.
Treasurer's Report- Frances Campbell
Frances distributed a financial summary to the Executive Board.
There were no new expenditures to report.
Chorus will pay for part of the transportation fees for Spring
Trip. The bus cost 27,000.
The Indoor Show raised about $3,000 dollars. This was less
than budgeted due to a wind storm causing power outage the day
of the show; this resulted in far less income from admissions
than anticipated. Note that we are down approximately $5,000
from the Field Show and $3,000 from the Indoor Show. We will
need to take this into account when preparing next year's budget.
Godwin Band Boosters has been the beneficiary of funds designated
by the Roop family in memory of Marvin Roop in honor of his
grandchildren. Frances has sent letters to the families thanking
them for their donations. Sallie will send a letter to the Roop
family thanking them for their thoughtfulness in designating
GBB as a recipient of the memorial funds.
GBB has historically offered two $1,000 scholarships for graduating
students. GBB will vote on scholarship funds at the General
meeting.
Roby requested that Mr. Auman make his wish list. Mr. Auman
stated that he would like piccolos; anticipates cost of $700
each. The membership will vote on this at the next meeting.
COMMITTEE REPORTS
Ways and Means - Laura Hudson
Ukrops' Golden Gifts - notes go out to Ukrop's customers at
the end of May. Families can designate GBB as the recipient
of their Golden Gift donations. The money will be given to GBB
at the end of August.
Arrangements have been made for entertainment book sales this
fall. Band has 300 books and Chorus has 300 books to sell. We
will receive one free book for each 5 books sold. This year
there is a lower threshold at which to receive $12 per book.
These changes foster more success in fund raising for the students.
Laura has the information about the King's Dominion fund raiser.
She asked for a volunteer to lead this fund-raiser.
Car wash dates are pending.
Plans are underway for the Golf Tournament this fall. It will
cost $65.00 to play which includes lunch, the cost of which
is $8.95 for BBQ, 2 sides and a drink. We are in the process
of soliciting sponsorships for the Tournament.
Laura spoke with the Asst Director of Finance for Henrico Co
Schools - no raffles are allowed as they are considered a form
of gambling
Nominating Committee - Sandy Philp
All of the chairs are filled except First VP and Treasurer.
Will call for nominees at the General Meeting.
Hospitality - Chris Klein
The Awards Celebration is June 2. The students voted for heavy
hors d'ourvres. Plans are underway and going smoothly.
Web - Henry Smith absent
Need updates for Indoor Guard and Drumline Show
Add dates for Spring Concert and Awards Night.
Photography & Tribute book - Carol Butterworth, Melinda
Whitehead
Carol has sorted photos. Many thanks to Sam (Samantha Uecker),
a student who helped sort photos.
The tribute book is coming along. Still seeking advertisers.
Students will be given tribute pages while on Spring Trip.
Indoor Percussion Ensemble - Michael Auman
The Indoor Percussion ensemble was moved to a higher class
for competition. They won the Silver Award for the Atlantic
Indoor Association in Open Class competition. The judges loved
the show. This is a tremendous accomplishment.
This is a young group; members had 0-1 year experience. Students
practiced > 600 hours. They were well behaved in their travels
to competitions.
Indoor Guard - Marty Riley
This is a group of young girls. The practiced hard and did
well, placing 6th in final competition. Mr. Mitchell is very
proud of them.
Spring Trip Information - Mr. Auman
Spring Trip info was sent home with the students. Mr. Auman
had extra copies to hand out. Students need to be at school
at 7AM on Thursday. Bags will be checked.
Chip Bragg - has arranged for the truck and it will be at the
school on Wed.
Spring Concert May 19th 7:30
Next meeting - May 5th
The June meeting would normally be scheduled on June 2nd;
however this is Senior Night. Graduation is 6-5. Therefore,
the June GBB meeting is 6-9-2008. This will be the first meeting
for the new officers. Parents and students of rising 9th graders
will be present. We will welcome them; show the end of the year
video. Freshman packets will need to be made available.
Mr. Auman's Report will be given at the General Meeting.

General Membership meeting 4/7/08
Call To Order
The meeting of the general Membership of the Godwin Band Boosters
was called to order by President, Roby Monday, at 7:30PM.
Roby announced that the Band Year is winding down.
The Awards Banquet is 6/2/2008. The Spring Concert is in May.
The last GBB meeting of this year is 6/9/2008. This meeting
will welcome new parents and students.
Indoor Percussion Ensemble - Michael Auman
The Indoor Percussion ensemble performed in final competition
this past weekend at Potomac HS in Dumfries, VA. Saturday's
semi-final performance was impacted by adjusting to the size
of a much smaller gym. They made adjustments to the show for
the final performance on Sun. The judges comments were positive
- that this ensemble is fiercely competitive and a dangerous
force to be reckoned with. Michael thanked the GBB for it support
in purchasing the new drums - this made a big differences in
this level of competition. They won the Silver Award for the
Atlantic Indoor Association in Open Class competition. The judges
loved the show. This is a tremendous accomplishment for this

Godwin Band Boosters has been the beneficiary of funds designated

GBB has historically offered two $1,000 scholarships for graduating
students. GBB needs to vote on this tonight. The scholarship
is offered to Seniors. They are required to write an essay on
"The Impact of Band on My Life".
Although the GBB budget has been impacted by the lower amounts
of money raised by the Field show and the Indoor Show, and the
lack of expected support from Walmart, the membership felt it
is still important to honor the offering of scholarships for
graduating Seniors. The membership voted to fund the Timothy
Sullivan Scholarship Fund and offer two (2) $1,000 scholarships.
Mr. Auman will pass out the information to students tomorrow.
COMMITTEE REPORTS
Guard Parents - Marty Riley
Marty expressed thanks to all the parents for their support
- this makes a huge difference.
Hospitality - Chris Klein
The Awards Celebration is June 2. The students voted for heavy
hors d'ourvres. Plans are underway and going smoothly. Chris
asked the Board to bear in mind for future planning that Mondays
are difficult for the caterer to provide service; they are making
an exception for us. A different day of the week will be better.
Cindy LaFratta requested that the Board consider changing the
amount of money budgeted for the Spring Banquet to be based
on the number of seniors in that graduating year. This will
allow enough funds for food, gift bags, photos etc. Roby reminded
the Board that the budget is a guide for this year's expenses
and can be modified. He encouraged the committee to spend what
it needs to for the year's banquet and submit receipts for expenses.
He requested that the committee identify an approximate cost
per student so that it can be budgeted for in upcoming years.
It was suggested that an explanation be added to the budget
line stating that the budgeted amount is derived from a certain
cost per senior student. By doing so, the budgeted amount will
vary according to the size of the senior class, and be more
accurate each year.
Nominating Committee - Sandy Philp
Still seeking First VP - Jeff Jones accepted the nomination
Need a treasurer - this is a very important position. Frances
Campbell will be available to mentor this person. Roby asked
the membership to consider serving in this position. GBB cannot
function without a Treasurer.
The slate will be voted on at the next meeting, May 5.

All meals are taken care of. Students will not need money for
food but bring some for souvenirs etc. Bring food and drinks
on the bus. Dress is casual. A shirt and tie are required for
the awards ceremony. There is an indoor water park and we will
go to the beach. Questions arose about chaperones - you may
feel free to call the chaperone your student is assigned to
to introduce yourself. Medications must be turned in to the
chaperone. There is a $2.00 tip for the driver. Bring only what
you can afford to lose (electronics etc).
